Easter is always one of the biggest Sundays of the year for churches we serve.
After all, what could possibly be more worth celebrating than Christ’s victorious conquering of sin and death? If we’re going to celebrate Easter, we should do it well (and we should invite everyone to share in the joy!).
And so, we remember Christ’s death, we celebrate Christ’s resurrection, we welcome new visitors, and we engage the community in new and also time-honored ways.
But let’s be honest—preparing for Easter can feel overwhelming. Between planning additional services, coordinating volunteers, and ensuring your message reaches the right people, it’s easy to feel like you’re sprinting to the finish line.
That’s why we’ve created this 2025 Easter Prep Checklist—so you can feel confident, organized, and ready to make the most of this season.

40+ DAYS OUT
Phase 1: Strategy & Planning
Define Your Easter Theme & Messaging
Your Easter message is the foundation of everything—sermons, social media, branding, and promotions. Take time to pray, brainstorm, and clarify your central theme.
- What key message do you want people to walk away with?
- How does this theme tie into your current sermon series?
- Will you use a tagline or supporting visuals to reinforce it?
Pro Tip: Talk to your senior pastor early about this. Remember to keep it simple and memorable. Something like "Hope is Here" or "Come Alive" can help create a strong, cohesive campaign to build your entire communications plan around.
Build Your Easter Team & Assign Roles
You can’t do it all (and you shouldn’t try to). Hopefully these bases are already covered during your weekly/monthly meetings, but we include them here just in case:
Assign leaders to oversee the following key areas:
- Worship & Creative: Music selection, stage design, media elements
- Communications & Marketing: Branding, social media, email campaigns
- Hospitality & First Impressions: Greeters, parking, signage, volunteers
- Family & Kids Ministry: Easter egg hunts, special children’s programming

Phase 2: Marketing & Promotion
Develop a Marketing Plan
An effective Easter campaign requires multiple touchpoints. People often need to see an invite multiple times before they act on it.
Here’s your marketing timeline:
- 8-10 Weeks Out: Finalize branding and visuals
- 6-8 Weeks Out: Launch invite cards and social media teasers
- 4-6 Weeks Out: Begin digital ad campaigns and email invites
- 2-4 Weeks Out: Boost social media engagement and reminder emails
- 1 Week Out: Personal invites, final email blast, social push
Refresh Your Website & Social Media*
- Create a dedicated Easter landing page with service times, location, and FAQs.
- Update your social media banners and profile images with Easter branding.
- Post weekly Easter promo content (testimonies, behind-the-scenes footage, sermon snippets).
- Make sure online streaming and church app information is up-to-date.
*Remember, a first-time visitor is going to look at your website/social media. Make sure they get the impression that you’re alive and thriving.
Launch Your Digital Ads & Outreach
Paid ads on Facebook, Instagram, Google, and Nextdoor are powerful tools to reach new people in your community.
- Run Facebook and Instagram ads targeted at local families.
- Use Google Ads (including Google Grant for churches) to boost Easter search traffic.
- Consider some creative community outreach: Partner with local businesses, schools, or food pantries.
20 DAYS OUT
Phase 3: Volunteer & Operations
Recruit & Train Volunteers
Your team makes or breaks the Easter experience.
- Schedule a volunteer rally to energize and equip your team!
- Create easy sign-up options for last-minute helpers.
- Ensure all volunteers have clear expectations and roles.
Key areas to cover:
- Parking team
- Welcome team
- Kids Ministry
- Follow-up team
- Prayer team
Optimize Your Guest Experience
First impressions matter. Set the tone for their time with you from the invitation all the way to when they walk into service.
- Make sure your signage is clear (parking, kids check-in, restrooms, etc.).
- Make sure their kids remember the occasion (a special gift for all kids, busy bags, etc.).
- Have a warm welcome strategy (greeters, welcome bags, clear instructions).
- Ensure easy next steps (invites to small groups, upcoming events, follow-up texts/emails).
7-14 DAYS OUT
Phase 4: Final Prep & Execution
Confirm Tech & Worship Elements
- Run a full tech rehearsal (lighting, sound, slides, live stream).
- Test all pre-recorded videos and media elements.
- Have a backup plan for live streaming issues.
Finalize Follow-Up Strategy
The work isn’t done once Easter is over. Make sure you plan a strong follow-up process.
- Send a thank-you email within 24 hours to all visitors.
- Offer a “New Here? Next Steps” guide with upcoming events.
- Have your team personally call or text first-time guests.
- Invite them back for a new sermon series the following week.
Preparation now will help you disciple them effectively when they come back in the weeks ahead.
